Life cycle of the ALEX Yearbook Report

Congregational Reporting

When the ALEX Yearbook Report period opens, congregational reporters can enter data for the calendar year just ended. If ALEX is ready to receive data, the congregational reporter will see a green Update Entry button on the My Yearbook (ribbon icon) section. Clicking Update Entry begins the process of entering report data.

When the congregational reporter clicks the Submit button on the Submit tab of the My Yearbook entry, the report goes to the region for review. At this point the congregational reporter cannot update information in the report, and they will see the orange Edit Entry button on the My Yearbook section.

Regional Review

When the regional administrator reviews the report, they can approve the report, or they can return it to the congregational reporter. 


If the regional administrator approves the report, it goes to the ALEX administrator and is considered ready for inclusion in the upcoming Yearbook.


If the regional administrator returns the report, the congregational reporter is notified, and any notes from the regional administrator are included on the General tab of the My Yearbook section. At this point, the congregational reporter again sees the green Update Entry button. They can click on that button, make any needed changes, and resubmit the report.


ALEX Administration

Once the regional administrator has approved the report, neither the congregational reporter nor the regional administrator can update the information in the report. However, there is a window during which an ALEX administrator can update the report on behalf of the congregation. These changes require an email to alex@disciples.org, and changes will be confirmed with the region.

Soft Close

The congregational deadline for reporting is the soft close date. This is the last day that congregational reporters will be able to submit their ALEX Yearbook Report. After the soft close, regional administrators can still enter reports and update reports that they have not yet approved.

Hard Close

Regions are allowed extra time to review submitted reports after the soft close date. The regional deadline for review is the hard close date. Once ALEX Yearbook Reporting is hard closed, no further reporting or updating is possible.
