How do I remind congregations to submit their ALEX report?

ALEX provides the ability for regional administrators to send an email reminder to congregations that have not yet submitted their annual Yearbook statistics to ALEX. Regional administrators can send the reminder to individual congregations or to all congregations that have not yet reported.

In the Yearbook Administration section (checkmark icon), regional administrators will see three sections: Pending, Approved, and Awaiting Submission.

Pending lists congregations that have submitted reports that are awaiting regional review and approval.
Approved shows congregations that have submitted reports that the region has approved.
Awaiting Submission shows the congregations that have not yet submitted their Yearbook statistics to ALEX.

Each of these sections are searchable by clicking the magnifying glass icon next to the section heading.

Sending Reminder Emails

In the Awaiting Submission section, regional administrators can send a reminder email to all congregations in the list by clicking the Remind All button next to the section heading. Regional administrators may also choose to send a reminder to individual congregations by finding the congregation in the list and clicking the Remind button on that congregation's row.

How ALEX Sends Reminders

When asked to send a reminder, ALEX first looks for a congregational reporter for the congregation. If ALEX finds a reporter, it sends the reminder email to the email address associated with the reporter.

If ALEX does not find a congregational reporter, it then looks at the congregation record for an email address. If it finds an email address for the congregation, it will send a reminder email to that address. The reminder message sent to a congregation's email is slightly different in that it invites the congregation to request a congregational reporter account by sending the request to alex@disciples.org.

If ALEX does not find a congregation reporter and does not find an email address for the congregation, ALEX has no way to reach the congregation with a reminder.

The ALEX Administrator receives any email bounce messages that may result from sending reminder emails.
